PRACTICAL

How do I book my Lapland trip?

At the moment, booking is not yet possible. Our offer for the 2026/2027 season will go online on April 1. If you preregister, you’ll get early access and can book from April 8. Without preregistration, bookings open on April 15. Find out here why it’s smart to preregister.

Can I rent thermal clothing, and what does this package include?

Yes, for £79 per person you can add a rental package with thermal clothing. This includes thermal boots for the entire week, so you won’t need to bring snow boots. Additionally, you will receive a thermal overall/jacket and pants that you can wear over your own winter or ski clothing.

Important: Make sure to bring your own winter or ski clothing as well. Check out our packing list for an overview of everything you need to bring.

The rented clothing can be used for the entire week.

What's the best time to travel to Lapland?

The best time is between December and the end of March, depending on how 'extreme' you want your Lapland experience to be.

  • December – January: Shorter days (10:00 – 15:00), magical snowy landscapes, average temperature -25°C.
  • February – March: Longer days (9:00 – 16:00/17:00), milder temperatures around -10°C, treetops become visible.

To see the Northern Lights, the best time is between December – March, but it's still a natural phenomenon and not guaranteed.

How many travel days do you offer?

Our travel program offers 7 day trips, each from Saturday to Saturday, with start dates from December 19th 2026 to March 13th 2027. We do not offer customized trips.

 

What can I eat in Lapland?

Self-catering is easy, thanks to nearby shops and well-equipped accommodations, and there are also plenty of restaurants to choose from. In addition, some accommodations in Rovaniemi offer meal plans: at the Reindeer Lodges and Santa Claus Village chalets, breakfast is included with the option to upgrade to half board, while on Aurora Island, half board is included with both breakfast and dinner.

What activities are included in my trip?

In Lapland, you can expect a range of adventurous and unforgettable activities. Here are the activities that are included in your basic package:

  • Husky ride: Take an adventurous ride through the snowy wilderness, pulled by a team of enthusiastic huskies.
  • Snowmobile tour: Explore the vast snowy landscapes on a powerful snowmobile as you ride past frozen lakes and through dense forests.
  • Snowshoe hike: Enjoy a peaceful walk through the snow-covered forests and hills while exploring the beautiful natural surroundings on snowshoes.
  • Northern Lights expedition: Go on a quest to see the enchanting Northern Lights, also known as Aurora Borealis, and admire the dancing curtains of light illuminating the sky with your guide.

In addition to these activities, you can also choose optional activities to make your trip even more special.

Are there any extra costs?

When booking a trip with us, most costs are included, but keep in mind some possible extra expenses:

  • Optional activities – Extra activities, such as a visit to the Ice Hotel, ice fishing, a reindeer farm, etc., can be added for an extra fee.
  • Food and drinks – Depending on the accommodation (see description), meals are included, but drinks and snacks during lunch are often not. Personal expenses, like souvenirs, also fall under this.
  • Thermal clothing & equipment – If you don't book thermal clothing, it won't be provided as standard during your trip. Make sure to bring enough warm clothing.
  • Travel and cancellation insurance – We recommend getting travel insurance if you haven't already. Cancellation insurance can also be helpful to avoid unexpected costs.
  • Tips – Not mandatory, but a token of appreciation for guides and staff is always appreciated.
What travel documents do I need?
  • Your UK passport must be valid for the duration of your stay.
  • Finland is part of the Schengen Area, so no extra visas are required for short tourist stays (up to 90 days within a 180-day period) for UK citizens.
Is this an individual or group trip?

During the trip, you'll mostly spend time with your own travel companions. Only the activities take place in groups of a maximum of 12 people, with the standard activities always happening in the same group and the optional activities often in different groups.

Additionally, we organize a few communal dinners or joint outings, but you get to choose how you spend your free time. Typically, the trip is booked by families and couples, but we also occasionally have solo travelers joining our trips.

 

Can I receive a price quote?

Yes, you can simulate your full booking via this quote tool. If you want to finalize your trip, you can do so through this page. Just fill in the search bar on the left, choose your desired accommodation, and click on book now.

How can I offset the CO₂ emissions from my trip?

With your booking, you can choose to contribute to a certified climate project from Greentripper. Your contribution supports an initiative that consists of 11 local projects in Uganda that distribute more efficient cooking stoves.

These stoves significantly reduce fuel consumption, help combat deforestation, and improve indoor air quality for local families. The project is Gold Standard certified, ensuring the highest international standards for climate projects.

If you decide to contribute, Travelbase will also offset additional local emissions on-site. After your trip, you'll receive an official carbon credit certificate.

How do I get to Lapland?

All our direct flights (to and from) to Lapland are operated by EasyJet from London Luton & Manchester airport. These flights also include a smooth transfer to and from Rovaniemi Airport to your accommodation.

Can I check in online and reserve seats?

Yes, you can! We'll send you a text message once you can check in online on the airline's website about 24 hours before departure.

Is hand luggage and checked luggage included?

Yes, the flights we offer will include luggage, but the specifics will be communicated closer to the season.

Can I bring ski/snowboard gear?

Absolutely! You can add this to your booking for £50 per person. This option allows you to bring either 1 pair of skis, ski poles, ski boots, and a helmet, OR 1 snowboard, snow boots, and a helmet.

My name is misspelled on the tickets, what should I do now?

Send us an email right away at info@laplandtravel.com with the correct passport name. An extra fee might apply if the e-tickets had already been confirmed.

What important documents should I bring?

To board, you only need your UK passport and the flight tickets, which you will receive from us 14 days before departure. Make sure that the information you enter during booking matches the information on your passport.

I can't find the flights online, what now?

It is indeed true that you cannot find these flights online. This is because these flights are part of our organization and are charter flights. Therefore, you won't find them publicly like a regular flight.

How long does a flight to Lapland take?

The flight time from UK to Rovaniemi takes about 4 to 5 hours, depending on your departure airport.

Which name should I provide?

The name you provide must be the official name as it appears on your passport. So no nicknames.

 

ACTIVITIES

Can I still book activities on site?

You can add optional activities up to 45 days before departure for a guaranteed spot and the best price. It's not necessary to decide on this during registration, but it's recommended to book them in advance.

Please note that cancellations made after 45 days before departure are not eligible for a refund, as we will have already reserved and paid for a spot for you with our partners.

 

What does my weekly schedule look like?

The weekly schedule includes the activities such as the husky safari, snowshoe hike, snowmobile tour, and the northern lights experience. You typically participate in one activity per day, leaving plenty of time to relax or explore on your own.

Optional activities are scheduled based on the standard activities and the practical organization of our partners. They may take place on the same day as an included activity, but of course, not at the same time.

Two weeks before departure, you will receive the final program. We aim to tailor the schedule as closely as possible to your preferences, while considering the availability of our local partners and the weather conditions.

How many optional activities should I book?

Depending on your personal preference, you can add as many activities as you want, but we generally recommend booking 3 to 4 activities, otherwise it can get really busy. It's up to you how active you want your trip to be.

Note: once you book activities, we reserve a spot for you with our partners and pay for it. For this reason, it's not possible to cancel.

Are the activities done in a group or alone?

For the activities, you'll be grouped into teams of up to 8 or 12 people. For the standard activities, this group will remain the same throughout the week. We form these groups based on age and type of travel companions (couples, families, friends...) to ensure everyone feels comfortable.

We will try to let the optional activities take place in the same group whenever possible, but this can't be guaranteed. You might meet some new people along the way!

How do we get to the activities?

For each activity, you'll be picked up at your accommodation or walk to a nearby pickup point. From there, you'll be taken to the activity location. This will be done by our Lapland Travel guides or our local partner.

You will receive the exact pickup time and/or meeting point well in advance via the Travelbase chat, so you can be ready on time.

Our trips are supported by Dutch-speaking guides who coordinate everything on-site and are available for questions or assistance. During the transfers and the activities themselves, you'll usually be accompanied by experienced, English-speaking local guides who handle the practical execution. So, the Dutch-speaking guide may not always accompany you physically but will remain available as a point of contact throughout your stay.

Can I ski in Lapland?

Skiing is booked independently on site. Each ski area has different rates, but you can expect to pay around £50 for a day lift pass and about £60 for equipment rental.

Can I visit the village of Santa Claus?

We only recommend this if you're staying in Rovaniemi.

Staying in Luosto? Then we do not recommend visiting the Santa Claus Village. It's located more than 2 hours away, so you'll need a rental car. With at least 4 hours of travel time, you'll miss almost all the daylight (only about ~5 hours in winter).

A visit to the Santa Claus Village is definitely easy and worth it if you’re in Rovaniemi!

 

Are meals included?

No, meals are not included during the activities. However, we do provide a small snack and a drink during most excursions. Want to bring your own extra food or drinks? That's totally fine! For some activities, like a hike, it's advisable to bring your own lunch. Our guide will give you daily tips on what’s best to bring.

Can I exchange an included activity for an optional activity?

No. Included activities cannot be exchanged for optional activities.

The standard activities are an integral part of the travel package and have no separate value. Therefore, it's not possible to swap them out, replace them with another activity, or receive a (partial) refund for them.

You are of course not obligated to participate in an activity. If you choose not to join or cancel an activity on-site (for example, for personal/physical reasons or pregnancy), it will still be part of the package and no refund will be possible.

Our activities are carefully curated as a whole, so deviations or refunds are not possible under any circumstances.

Want to extend your time with the huskies or on the snowmobile?

If you'd like, you can extend the snowmobile tour or add an extra husky tour on another day (depending on availability), but you'll need to book that on-site yourself.

 

ACCOMMODATION

Are towels and bed linens provided?

Bedding and towels are always included in your booking. You will only receive 1 set of towels per person for the entire week, so feel free to bring an extra towel for use in the sauna.

How far is the accommodation from the center?

It really depends on the accommodation. You can always find the distances listed on the detail page for each type of lodging.

In each area, you can easily hire a taxi to get around.

Is my stay completely private, or will I be sharing it?

Your stay is always completely private. We will never place you with other guests in the same accommodation.

Do we need to pay a deposit?

No. Once you have paid the full travel amount, there are no additional costs associated with the accommodation.

We do ask that you treat the accommodation with care and leave it tidy. Any damage, breakage, or excessive mess during your stay will be charged by the accommodation provider and passed on to you. The costs can add up significantly.

Therefore, we count on everyone to take responsibility for leaving the place in good condition.

Is breakfast or dinner included?

Rovaniemi: Breakfast in the Santa Claus chalets and Reindeer lodges. Half board is also available for both at an additional cost. The Aurora Island is exclusively half board.

Where can I find an inventory?

You can find the full description of your accommodation by clicking to open it. All the information about the amenities is listed here.

There is a coffee maker available by default for brewing filter coffee. The kitchen is fully equipped with all the essentials, such as spices, dish soap, a microwave, a stove, an oven, cutlery, and more.

Additionally, almost every accommodation features a private sauna, sometimes shared. A fireplace is present in some accommodations (check the accommodation information for details).

Can I book a glass cabin/igloo?

You cannot rent a glass cabin. You can book this independently if desired.

How does check-in and check-out work?

Our guide will provide you with all the necessary information about the address, check-in, check-out, and other practical details. Upon arrival, you will receive clear instructions to ensure everything runs smoothly.

Keep in mind that you might not be able to check in right away upon arrival. In most accommodations, check-in is only possible in the late afternoon (usually around 5 PM, sometimes later).

If you booked your flights through us, we'll make sure your luggage is safely stored in a designated area. In the meantime, we'll take you to the city center, where you can relax and grab a bite to eat or explore the area a bit.

This way, you can start your stay in a relaxed manner, even if the accommodation isn’t immediately available.

COMMUNICATION

When will I receive general information about my trip?

Below you'll find an overview of when you can expect which communications about your trip:

  • Travel reminder – 100 days before departure
    • Important information about your flight, luggage, arrival, and transfer
    • The packing list.
  • Your online flight tickets – 15 days before departure.
  • Activity schedule – 14 days before departure.
  • Travelbase app invitation – 5 days after your booking.
  • Join the Travelbase chat – 3 days before departure.
When will I receive my flight tickets?

You will receive your flight tickets two weeks before departure. Online check-in is usually available 24 hours before departure. During check-in, you can add extra luggage and select your seat.

When will I receive my activity schedule?

You will receive your activity schedule two weeks before departure. We carefully put together your programme to ensure you have a varied itinerary that also aligns with the availability of our partners. Making adjustments on your own is not possible.

Would you like to add an extra activity after receiving your schedule? If so, please send us an email as soon as possible, and we'll see if there's still availability. Please note: this is not guaranteed.

Want to cancel an activity? Keep in mind that a refund is not always possible and depends on the terms of our partners.

What will be communicated on location?

3 days before departure, you will receive an invitation to a chat in our Travelbase app. Every day, our English-speaking guides will share the schedule for the next day, including pickup times, locations, and recommendations for clothing and necessities for each activity.

When will I get access to the app?

Shortly after your booking, you'll receive an invitation to download our Travelbase App. In it, you'll find the following:

  • Practical info: Flight info, packing list, Northern Lights tips, check-in and check-out details, and insights about Sami culture, animals, and plants.
  • Extra points of interest: Restaurants, attractions, and activities on an interactive map.
  • Lots of useful information about your stay, assistance with issues, and our best tips.
What language do the guides speak?

You'll have an English-speaking guide who will send you all the important info via the chat in our Travelbase app, such as the daily schedule, tips, and what to bring.

Most activities are led by our local guides in English.

CHILDREN & PREGNANCY

Can children join this trip?

Yes, children are welcome, but keep in mind that there are age restrictions for certain activities. Children under 4 years old cannot participate in some activities, and for others, there is a minimum age of 12 years. This means that an adult may sometimes need to stay behind.

Additionally, it's important to realize that young children may not be able to communicate as clearly whether they are cold. That's why we recommend this trip for children aged 6 and up, when they can participate more actively and better communicate their needs.

Is there a discount for children?

For children, we offer the following discounts on the standard package (standard activities, accommodation, and flight):

  • Babies (0 to 2 years): €350 discount & can fly for free (on your lap).
  • Preschoolers (2 to 5 years): €350 discount.
  • Children (5 to 12 years inclusive): €100 discount.

All extras such as clothing, insurance, and optional activities will still be charged for babies, preschoolers, and children.

Is there thermal clothing for kids?

Thermal clothing is available for children from the age of 6. For younger children, you'll need to provide the right clothing yourself. We recommend buying a thick thermal suit that your child can wear under their winter clothes.

Is the trip suitable for pregnant women?

During the early months of pregnancy, most activities are generally still possible. However, we recommend extra caution in later stages for snowmobile tours, snowshoeing, husky rides, and horseback riding. These activities can be bumpy and may involve unexpected movements, due to weather conditions and the state of the trails.

We always advise seeking medical advice from your doctor beforehand, as every pregnancy is different. If you wish to participate in more active activities, we recommend contacting us in advance and providing a medical certificate confirming that you can participate safely. Be sure to bring this certificate with you to Lapland.

Our local partners follow strict safety guidelines. They reserve the right to refuse participation or cancel an activity on-site if weather conditions, the state of the course, or other safety factors require it. Without medical approval, they cannot make exceptions. Safety is always the top priority.

If you choose not to participate in certain included activities, this remains part of the package. Included basic activities cannot be exchanged or refunded under any circumstances.

If desired, you can choose to book extra, more relaxed activities, such as a visit to a reindeer farm, snow village, etc. These activities are optional and are in addition to the package.

Can children join husky or snowmobile rides?
  • Husky safari: Young children are not allowed to drive the sled, but can ride up front as passengers.
  • Snowmobile: Only individuals with a Category B driving licence
    • Older children (from 140 cm) can ride as passengers in the back.
    • Younger children (<140 cm) will be pulled in a sled behind the snowmobile.
Are daycare services available during our trip?

No, unfortunately we don't offer daycare. If your child cannot participate in a certain activity, you need to arrange supervision yourself.

Is this trip suitable for people aged 60 and over?

This trip is definitely suitable for those aged 60 and over, although this can vary from person to person. Some activities, like snowshoeing, cross-country skiing, and snow cycling, do require a bit more physical effort, so a basic fitness level is recommended.

Our local guides always take the group into account and adjust the pace and level whenever possible, ensuring that everyone can participate in a pleasant manner.

Are there physical requirements for this trip?

For some activities, like cross-country skiing or snowshoeing, a basic level of fitness is recommended. You should be mobile, as the paths can be snowy and sometimes slippery. In deep snow, you might sink a bit here and there.

That said, this is not a physically demanding trip. The program is varied and laid-back, making it manageable for most people.

Unfortunately, the trip is not suitable for wheelchair users, as the infrastructure and activities on-site are not adapted for that.

 

PAYMENTS & INSURANCES

When do I need to pay for my trip?

When you register, a 30% deposit of the total amount is required. You'll have 24 hours to pay your deposit to secure your spot.

After that, you have until 45 days before departure to pay the remaining amount. So, this doesn't have to be paid right away.

Which payment method can I use?

Once you've completed your booking, you'll land on a payment page where you can pay the deposit to confirm your booking. You can do this with a VISA or Mastercard, via iDeal or Sofort, via Bancontact, or by bank transfer.

To pay the remaining amount (no later than 45 days before departure), go to your personal booking page. There, click on manage trip, and scroll down to the payment section. Open this section, and then click on pay remaining amount. Select your preferred payment method. You can also pay the remaining amount with a VISA or Mastercard, via iDEal or Sofort, or via Bancontact or bank transfer.

What does your cancellation insurance cover?

You can cancel your entire trip with this insurance up to the day of departure. Feel free to read the full cancellation conditions.

What is covered by the cancellation insurance if you cancel?

A. The entire group cancels

  • If you cancel at least 80 days before departure, you will receive 100% of the paid amount back (excluding the cost of the cancellation insurance).
  • If you cancel less than 80 days before departure, you will still receive 100% of the paid amount back (excluding the costs for the cancellation insurance and flight tickets) if you can provide a valid reason for cancellation (see valid cancellation reasons on the last page), provided you cancel at least one day before departure.
  • If you cancel less than 80 days before departure and cannot provide a valid reason (see valid cancellation reasons on the last page)? Then you will still receive 60% of the paid amount back, excluding the costs of the cancellation insurance and flight tickets, provided you cancel at least one day before departure and the full trip amount has already been paid.

B. One of the travel companions cancels

You made a booking for two or more people, and one (or more) traveller(s) cancels? The costs for the booked accommodation will still apply, as the remaining traveller(s) will still use it. The remaining travellers will therefore take on the costs for the accommodation of the canceling traveller(s).

What is not covered by this insurance?

  • Any reason not included in the valid reasons in the cancellation conditions.
  • Cancellations during the trip. This is covered by your travel assistance insurance.

Note: the choice for cancellation insurance cannot be changed. So it's important to add this option during your booking.

Can you pay for the trip per person?

No. The main booker always pays the full amount of the trip for all participants.

We do not accept split payments, individual payments per person, or extensions of payment deadlines. The payment is handled entirely through the main booker.

How you arrange this among yourselves is best discussed together.

What are the Superflex booking conditions?

The Superflex booking conditions are temporarily offered when bookings open. Since we understand that plans can change and we want to be as flexible as possible, thanks to the Superflex booking conditions, you can cancel or change your trip for free until 1 September 2027 to another date (subject to availability).

If you book before June 12, you can select these Superflex booking conditions during your booking. After June 12, these conditions will no longer be available.

Are we insured for the snowmobile tour?

You can pay a small additional fee on-site (£20 - £30) to minimize your liability in case of an accident.

 

Do I need travel assistance insurance?

If you already have travel insurance, it's not necessary. However, it's a good idea to check with your own insurer about what is covered. Then you can decide for yourself whether you need to take out additional travel insurance with us. You can find more information about the travel insurance we offer here.

What is Lapland Travel affiliated with?

We are a Belgian organization and fall under the company Travelbase. Travelbase is a member of the United Federation of Travel Agents Associations (UFTAA) through its membership with the Flemish Association of Travel Agencies (VVR). As a traveler, you are 100% protected against financial insolvency through MS Amlin Insurance.
